Sending an invoice online in India does not need to be complicated. A reliable process is usually a short sequence: create the invoice, check the details, download or share the final document, explain how to pay, and record the status after sending.

The goal is not just to send a PDF. The goal is to make it easy for your customer to understand the work, approve the amount, and complete the payment without another round of questions.

Keep the message simple: Tell the customer what the invoice is for, how much is due, when payment is due, and where they can ask a question.

1. Create the invoice from current details

Start with the business and customer information you actually want on this invoice. Check the business name, address, contact details, GSTIN where applicable, customer name, and billing details before adding the line items.

Using saved clients and services can make the process faster, but always review reused information. A previous address, rate, GST treatment, or project description may not apply to the current work.

2. Add a clear description of the work

Write the description so the customer can connect the invoice to the agreed work. Include the project name, service period, quantity, hours, milestones, or deliverables when those details help explain the charge.

A vague line such as “services” may create an unnecessary delay. A concise description such as “Website maintenance — August 2026” gives the customer a useful reference without making the invoice difficult to scan.

3. Check GST, totals, and payment terms

Review the subtotal, applicable GST details, tax amount, discount, and final total. If the transaction has a specific place-of-supply or tax-treatment question, verify it before sending rather than relying on a default setting.

Make the due date visible. Add the payment methods you accept and any reference the customer should include with a bank or UPI payment. The invoice should answer “how do I pay?” without forcing the customer to search through an old email.

4. Download a professional PDF

A PDF is usually a practical format for sharing because the layout stays consistent across devices. Before attaching it, open the file and check that the invoice number, customer name, line items, tax, total, due date, and payment details are readable.

Use a filename that includes the invoice number and customer or project name, such as INV-1042-Acme-Technologies.pdf. This makes the document easier to find later.

5. Send the invoice with a useful message

Your email or message can be short and professional. Include the customer name, invoice number, amount due, due date, and a clear attachment or link. If the work has a milestone or purchase order reference, mention it so the customer can route the invoice correctly.

For example:

Hi Priya, attached is invoice INV-1042 for the August website maintenance work. The total due is ₹23,600, payable by 10 September 2026. Please let me know if you need any additional details.

6. Track the invoice after sending

Mark the invoice as sent and keep the status visible. When the customer pays, record the payment date and amount. If the due date passes, you will have the context you need for a polite, specific follow-up.

Keeping invoice status in the same workflow as your customer and service details is easier than checking email, a spreadsheet, and bank records separately.
